SPFest Chicago 2021 Sponsor Information

 

We are pleased to announce that all 2021 SPFest events will be running as planned and will be taking place in fully reopened cities. Therefore, we will not be granting further extensions for Sponsorships transferred from 2020 events beyond 2021.

For sponsors unable to attend SPFest events in 2021 in person, SPFest can make arrangements for sponsors to utilize their current sponsorships virtually without an in-person expo presence. All other sponsorship terms remain in place.

We are excited about the return of live in-person events and working with our partners this year and in the future.

Booth Staff Registration – Due by Friday, July 9, 2021

Sponsors are allotted a specific number of booth workers per day based on the level of your sponsorship:

  • Diamond – 4
  • Platinum – 2
  • Gold – 2
  • Silver – 2
  • Exhibitor – 2

If you would like additional staff at your booth, you can purchase additional passes at $60 per person per day. You can register a max of 4 total booth staff per day (in addition to the complimentary booth staff pass that your sponsorship comes with), otherwise a gold pass will need to be purchased for any additional booth staff members.

 

Exhibitor Services Manual

We will share the exhibitor services manual from our exhibitor services company once received.

All sponsors are requested to post a link on your company website to http://www.spfest.com/Chicago with a statement that you are a sponsor. All sponsors are requested to email their customers regarding the conference. Please copy Sharon Toler (This email address is being protected from spambots. Sponsor Banners and Discount Code

Sponsor banners with 15% off discount code have been sent to all sponsors. If you need any additional templates etc., please email Jamie Bertha (This email address is being protected from spambots. You need JavaScript enabled to view it.). 

 

VIP Attendees

If your sponsorship qualifies for VIP passes, you will receive an email with special VIP codes to give to your customers. VIP passes are for customers only and are not intended for your employees.

Your free VIP customer passes are ONLY valid for the 3-day conference “gold” pass.  VIPs can purchase the workshop day(s) separately through the event site.

Electricity and Wi-Fi

Electricity will be provided to each sponsor; however, it will be limited to 5 amps. If additional power is required, we must be notified prior to the event and additional charges will apply. Sponsors are responsible for any power strips or extension cords they may need.

 

Sponsor Scavenger Hunt

Please note that our attendees will be visiting sponsor booths as they conduct a "scavenger hunt" using the SPFest Chicago 2021 event app. On the home screen, attendees will click into the 'Scavenger Hunt' module, and it will open into a list of all of our sponsors (ordered alphabetically). At the top of the screen, there is a message that reads "Visit the expo hall and scan the QR codes at the exhibitor booths. For each sponsor's QR code that you scan, you will be eligible to win their sponsor prize. The more QR codes that you scan, the better your odds are that you'll win one of the awesome sponsor prizes!" (see sponsor prize info below for more details). The attendee will then click on the button in the bottom right corner that will open into a camera view (shown in attached image). This is how the attendee will scan your QR code.

Each sponsor will be provided with a printed QR code. It is up to you where you would like to place the QR code at your booth. You can make it easily accessible and just place it on the table, or you can get creative with it, perhaps making it a bit more difficult for the attendee to find (example: you could allow only those that had a qualified conversation with one of your team members to scan the QR code).

Please note that this scavenger hunt is in place of the sponsor passport that we have previously done.

Winners of the scavenger hunt will be announced on Friday, July 30, 2021 during lunch and we will pull the winners from the master list of QR code scans. Only attendees that have scanned your QR code are eligible to win your sponsor prize.

 

Sponsor Prizes Confirmation Due Friday, July 9, 2021

All sponsors must provide a prize for the sponsor prize giveaways. We recommend selecting a prize with a value of $50 or more. Prizes that we have seen in the past include items such as a gift card, Apple Watch, Amazon Alexa, etc. At the conference, we will go booth to booth to gather all of the prizes.

At the Conference

Speakers and booth workers’ credentials will be at your booth the morning of the first conference day.  Anyone without credentials once the event begins must visit the registration table or they will not be allowed access to the event.

Sponsor booths are integrated into the event flow to maximize traffic throughout the day and thus are always open to attendees throughout the event.

Please make sure that you have enough collateral available at your booth and plan on some heavy traffic!

Applicable sponsors can submit a 70-minute technical session. Please note that technical sessions MUST remain vendor neutral. Technical sessions must be approved and the date and time of the session will be determined upon approval.

 

Solution Showcase Submission (Diamond and Platinum Sponsors) - Due Friday, June 18, 2021

Applicable sponsors can submit a 30-minute solution showcase that is meant to highlight their solution or product and we highly recommend a case study with an engaging title and description. Solution showcases must be approved and will take place on Thursday, July 29, 2021 at 12:40 pm CST.

 

Booth Selection – Begins Thursday, June 24, 2021

Social Media Bundles

Sponsors will be sent a distribution schedule for their social media bundle and content must be submitted 1 week in advance of your first scheduled post. For diamond and platinum sponsors, your sponsored newsletter information will be included in this distribution schedule as well. This is an added value of your sponsorship. The sole purpose of this is for us to promote your company via our social media channels. The content must feature webinars, technical blogs, white papers, eBooks, videos, etc.

 

News Feed Post on the SPFest Chicago 2021 App (Diamond and Platinum Sponsors) – Due Friday, July 2, 2021

Applicable sponsors can provide us with content to post in the 'News Feed' module in the SharePoint Fest DC event app. Please note that the news feed is separate from the activity feed. This is a great opportunity to gain more visibility within the app!

Adding a Document to Your Sponsor Profile in the Event App (Diamond, Platinum and Gold Sponsors) - Due Friday, July 2, 2021

Applicable sponsors can add items to an attendee's virtual 'conference bag'. Applicable sponsors will have the opportunity to provide us with one document that they would like us to attach to their sponsor profile in the app. The type of content that you would like to promote is up to you. It could be a white paper, an eBook, a discount offer, etc.

Please note that the maximum file is 10 MB.

 

Sponsor Booth Staff Attending the Conference

We allow our sponsor booth staff to attend regular conference sessions, although they must pay and register to attend the pre-conference workshops with your promo code as these are outside the scope of the conference days. Please be sure to register them through the conference registration web site as we will begin checking attendees in at each session room as they enter and those without credentials to attend will not be allowed.
